In Episode 13 of QuickBooks Mastery for Small Business Success, Erica Northrup and Lee Davis tackle some of the most common QuickBooks mistakes they see—and explain why getting the details right matters.
Here are some of the biggest mistakes they discussed:
1️⃣ Waiting too long to reconcile
Don't wait months to reconcile your accounts. If your account doesn't reconcile, that's a sign that something needs attention.
Lee recommends reconciling after the 10th of each month so you can catch problems early.
2️⃣ Misusing "Ask My Accountant" or Uncategorized Accounts
If you don't know how to categorize a transaction, it's tempting to leave it in an Uncategorized or "Ask My Accountant" account.
But those accounts shouldn't become a permanent home for transactions.
Use your Schedule C as a guide for determining the appropriate categories.
3️⃣ Using the Bank Feed incorrectly
Automatic downloads don't mean transactions are automatically categorized correctly.
When reviewing your bank feed, look for opportunities to match transactions instead of simply adding them. This can help prevent duplicate entries.
4️⃣ Misusing Undeposited Funds
Think of Undeposited Funds like a bank bag where checks are held until you make a deposit.
If you record the check through Undeposited Funds and then also record it again through the bank feed, you've potentially recorded the transaction twice.
The big takeaway from Episode 13?
Don't wait for a problem to tell you something is wrong with your books. Be proactive.
Reconcile regularly. Categorize correctly. Review your reports. And when you're unsure, get help before a small mistake becomes a big one.
