In this video, we’ll learn how to create an inventory management system in Excel step by step, from scratch.
The idea is to use two sheets that work together dynamically.
In the first sheet, called Inventory, we’ll have the main overview of our stock. This sheet serves as the core of the system because it allows us to register every product we have, track how many units come in, how many go out, and see the current balance.
This helps us monitor stock levels in real time and ensures that we avoid both running out of products and overstocking.
The sheet will include five columns: Product Name, Minimum Stock Level, Quantity In, Quantity Out, and Balance.
The Minimum Stock Level is especially important because it represents our safety quantity—the lowest amount we want to have on hand before we need to reorder.
In the second sheet, called Inventory Movement, we’ll record all stock transactions. This sheet will also have five columns: Date, Product Name, Type, Quantity, and Notes.
The Type column will use a dropdown list with two options: In or Out, indicating whether the product is coming into or leaving the inventory.
For the Product Name, we’ll use data validation with a list (using the INDIRECT function) to ensure consistency.
Overall, this sheet logs every stock movement—each time a product is added or removed. We record the product, whether it’s coming in or going out, the quantity, and the date.
