Let’s start with a big question. How can a law firm know switching practice management software is actually worth it? Aisling Conroy: It starts with defining the outcome. Some firms want more time back. Others want to increase case volume. You need clarity on what success looks like, then measure everything against that. Scott Berry: What metrics should firms track to evaluate that change? Aisling Conroy: Start with a baseline. Look at revenue, billable vs non-billable hours, and how long tasks take. Then track improvements like faster time to cash, increased billable hours, and higher case volume. Some benefits are harder to quantify, like team satisfaction and reduced admin time, but they still matter. Scott Berry: What should firms prioritize when evaluating software? Aisling Conroy: Financials are foundational. Billing, invoicing, and payments need to work well. But also look at integrations with your existing tools, client experience, and efficiency gains. If AI is included, understand what it actually does and whether it costs extra. Implementation time and training are also critical. Scott Berry: What are common reasons firms look for a new system? Aisling Conroy: Usually friction. Firms outgrow spreadsheets and disconnected tools. Others expand into new practice areas and their system no longer fits. Some adopt overly complex tools that don’t match their size. When friction builds, they start looking for better options. Scott Berry: What are early warning signs it’s time to switch? Aisling Conroy: If your system doesn’t match how your firm operates, or you’re adding staff and struggling to train them, that’s a signal. Also if you’re relying on workarounds or “shadow systems,” it’s time to reassess. Scott Berry: What questions should firms ask vendors? Aisling Conroy: Ask broadly. Cover billing, trust accounting, ease of use, and reporting. Make sure the system fits your workflow and your clients. A good approach is to walk vendors through your day-to-day and have them map their solution to it. Scott Berry: What results should firms expect after switching? Aisling Conroy: Less context switching, one central system, and improved productivity. That could mean more clients, faster payments, or better team efficiency. Ultimately, you should gain time and see a clear ROI.
