Almost 300 transactions were sitting untouched in my QuickBooks Online bank feed, and in this video I walk through exactly how I cleared that backlog, transaction by transaction, decision by decision, until the number hit zero. The unedited recording ran about an hour, which is honestly a pretty reasonable amount of time to clear a backlog that size once you know how to work through it.
If you've fallen behind on classifying transactions in QuickBooks, the fix isn't reviewing every single one with the same amount of effort. It's knowing the difference between a transaction you can add in seconds and one that actually needs your attention. I show how I use Match, Categorize, and Pair together to clear the easy wins first, when to build a bank rule versus when to leave a transaction for manual review, and how to catch vendor names that can quietly send a transaction to the wrong account if you're not paying attention.
This isn't a tour of the Bank Transactions tab, it's a real, unedited look at the judgment calls that come with actually catching up, including a few mistakes QuickBooks makes on its own that are worth knowing about before they end up in your books.
In this video:
-The order I work through a large transaction backlog in
-When to create a QuickBooks rule and when not to
-How Match, Categorize, and Pair are actually different
-Real examples of vendor names that can trip up your rules
-What to watch for with merchant processor deposits like Stripe and Square
