SECTION A: This section is Compulsory
ITEM 1
Kijura Farmers’ Produce Centre buys agricultural produce from local farmers and handles its records and other office work from the centre. It is preparing for its annual meeting, where management will present the centre’s performance and achievements to farmers and local leaders. Sarah has been asked to handle the ICT preparations using handwritten produce records, physical receipts and photographs saved on a flash disk.
She needs to prepare a clear report, keep electronic copies of the receipts, print enough hardcopies and email a PDF copy to the chairperson. She is also expected to prepare an engaging presentation of the centre’s achievements, display it clearly to the large audience and make sure everyone can hear the explanations during the meeting.
Some of the equipment needed for the work is still new and has not yet been set up. The centre recently bought a desktop computer set with a system unit, monitor, keyboard, mouse, UPS, HDMI cable and power cables. The components are still packed in a box in Sarah’s office, and she is not sure how to connect them correctly and safely.
The centre is also concerned about keeping the equipment (desktop computer set) in good working condition because the office is dusty, power sometimes fluctuates and several workers will be using the equipment.
Task
a) Assess Sarah’s situation and advise her on the ICT tools she should use to complete the required activities.
b) Examine the condition of the newly acquired equipment and advise Sarah on how it should be set up and managed for continued use.
SECTION B: Answer only one item from this section.
ITEM 2
Bwera Youth Environmental Club has been invited to take part in a district online exhibition where different youth groups will present ideas for solving environmental problems in their communities. The club has been asked to prepare an engaging presentation on reducing plastic waste and present it to the judges and other youth groups through a virtual meeting.
Most members were unsure how to prepare the content because they had never used Artificial Intelligence for this kind of work. When one member suggested using an AI assistant to generate ideas, improve the wording and create suitable illustrations, others were worried that the information might not always be correct or that they might depend on AI too much.
The club chairperson also tried to show the members how to join the online session and present their work but was not successful. During a rehearsal, another youth helped them join the meeting, share their screen and present the slides, but several members still did not understand the steps involved.
While they were waiting for the exhibition coordinator, some members posted abusive messages in the chat, one shared AI-generated information without checking it, and another used online images without acknowledging the sources. The meeting link had also been shared publicly, allowing unknown people to join. This made some members worried about the safety of the club’s information.
Task
Prepare a document to guide the Bwera Youth Environmental Club by:
(a) (i) Recommend with justification and describe how the digital tools can be used to create the required information for the district online exhibition.
(ii) Recommend with justification and describe how the digital tools can be used to present the required information during the district online exhibition.
(b) Explain the security measures and ethical practices participants should observe when using the digital communication platforms.
