How I’d Roll Out an AI Receptionist for a Healthcare Practice (Discovery to Go-Live)

Instead of just telling you how I'd approach an AI consultant role for a healthcare practice, I built out the plan and walked through it, from the first conversation with the doctor to go-live. What's inside: A live AI voice agent I built for an HVAC company on Vapi. It books, reschedules and cancels appointments against a live calendar 24/7, and logs every call the second it starts, so staff can call back even if the caller hangs up. The n8n workflow behind it: webhook → authentication → call extraction → intent check (schedule / cancel / availability) → database log → confirmation with 2–3 open slots offered up front. My 8-step assessment-to-improvement plan for a practice: map call volume by hour, call reasons and where staff time goes; scope, timeline and budget signed off by both the doctor and the practice manager. The phone tree: one AI receptionist in front, five paths behind it (scheduling, refills, urgent symptoms, after-hours, billing). Urgent symptoms skip the AI and go straight to a person; the AI never approves a refill, it only collects details for the nurse. Why most phone projects fail in telephony, not AI: porting checks, keeping the old line live until port date, testing every transfer from outside the building, confirming 911 works, and a BAA with every vendor touching patient data. After go-live: weekly call-log review and one improvement recommendation to leadership each week.
