How We Built a Custom HighLevel System for a Children's Entertainment Business

What happens when a business needs HighLevel to do something it doesn't quite support out of the box? In this video, I’m taking you behind the scenes of a recent project we built for a children’s entertainment business based in Hong Kong. The client was managing enquiries from WhatsApp, Instagram, and their Wix website, while using spreadsheets and Xero to manage different parts of their booking process. A lot of their follow-up was also being handled manually. So we built a complete customer journey inside HighLevel — from the very first enquiry all the way to the event, post-event follow-up, and repeat booking. Here’s what we built: • Automated WhatsApp response for new enquiries • Automated follow-up when an enquiry form isn't completed • CRM pipeline and team notifications • Enquiry and final booking forms • Auto-population of customer information between forms • Booking and calendar automations • Automated reminders for customers and entertainers • Post-event follow-up and debrief automation • Remaining balance reminders and review requests • 11-month customer reactivation automation • Xero integration for customer and booking information • A custom Event Dashboard built specifically around the client's business But we also ran into an interesting HighLevel limitation. The business has customers who can make multiple bookings, but HighLevel's calendar bookings are tied to the contact rather than directly to individual opportunities. This meant that when a customer had multiple event bookings, the opportunity wasn't displaying the individual event dates the way the client needed. So instead of simply working around the limitation, we built a custom Event Dashboard that gave the client a more detailed, flexible, and on-brand way to manage their events. This project is a good example of how I approach HighLevel projects: not just setting up features, but understanding the business process, identifying limitations, and building a system around how the business actually operates.
