If your SharePoint file names look like HR-POL-LEAVE-2026-V4-FINAL-APPROVED.docx, your file name is doing way too much work. In this video, I’ll show you the four metadata columns I use as a practical starting point for almost every SharePoint document library: Document Type — What is it? Department — Where does it belong? Document Status — Can I use it? Document Owner — Who’s accountable for it? We’ll look at why each field matters, how metadata helps you organise and find content, and why giving your documents better context is increasingly important when you’re working with Microsoft 365 Copilot. Then we’ll jump into SharePoint for a live demo, where I’ll create all four columns and show you how I would set them up in a real document library. The goal isn’t to add 25 metadata columns to every library. It’s to start with a simple, useful baseline that makes your content easier to find, filter, manage and govern — without stuffing everything into the file name. And if you have hundreds of libraries, don’t try to fix everything overnight. Pick one active library, add the four fields, test them with real content, learn from how people use them, and then scale what works. Better metadata gives your content better context — but remember that content quality, ownership and permissions also matter for Copilot readiness.
