Your customer was happy. They said thanks, that was brilliant. And then nothing, because
nobody asked. That is not a satisfaction problem. It is a memory problem, and memory is the
one thing you should never build a process on.
In this video I show the review engine I build for businesses: a trigger fires the moment a
job is marked complete, AI writes a personalised request using what your CRM already knows,
the customer leaves a review in one tap, and reminders run on their own until they stop.
The four steps:
Pick a real trigger. Job marked complete for trades, appointment finished for a clinic,
order delivered for e-commerce, milestone signed off for an agency. Use an event that
already exists in your business.
Do not ask like a robot. "Dear customer, your feedback is important to us" gets ignored.
Use the name, the job, the date. Automated does not have to mean impersonal.
Remove every step you can. Never tell someone to go and search for you on Google. Send
the direct link or the QR code. Every extra step is another chance to lose the review.
Follow up, then stop. Request, reminder two or three days later, one final nudge, then
leave them alone. The system remembers so your team does not have to.
Two rules that matter more than the tech. Do not build a "were you happy?" filter that sends
happy customers to Google and quietly buries everyone else, and do not offer a discount for
five stars. Google's policies prohibit the first and the FTC's consumer review rule prohibits
the second, and it warned ten businesses about exactly this in December 2025. Your automation
also needs to know the platform: Google publishes review request links for businesses to
share, while Yelp tells businesses not to solicit reviews at all.
Then the arithmetic. A hundred jobs a month, a team that remembers to ask twenty-five times,
twenty per cent of those leaving a review, and you have five. Automate the ask so all
hundred get one, hold the same twenty per cent, and you have twenty. Four times the reviews
from the same work, because nobody had to remember. That is an illustrative example rather
than a client result, but the mechanism is real.
One last thing worth knowing: reviews no longer just persuade people. They are part of how
ChatGPT and Claude decide which local business to recommend. The goal is not to automate
five stars. It is to automate the opportunity to earn them.
