How do you automatically assign a new solar lead to the right sales rep? In this video, I break down the operational problem of lead ownership in solar sales and then build a working solar lead routing automation using n8n, HubSpot CRM, and Slack. The problem is simple: 3 sales reps. 1 new solar enquiry. Everyone gets notified. But a notification isn't ownership. Without a defined routing rule, someone has to decide who should handle the lead every time. That creates unnecessary human decision-making, slower handoffs, and inconsistent lead management. In this build, I first explain the operating problem and then show the live automation. What we are building Website Lead Form → n8n → Lead Normalization → Routing Logic → HubSpot CRM → Slack The lead form captures information such as: Residential / Commercial / Industrial ZIP code and region Monthly electricity bill Battery requirement Primary goal Contact information Preferred contact time The workflow then evaluates the lead against defined routing rules and assigns the appropriate sales representative. For example: Industrial → Michael Commercial + $750+ monthly bill → Michael West/Southwest residential → Alex Northeast/Southeast → Sarah Midwest → Michael Fallback → Sarah The important part isn't just the automation. It is the routing policy behind the automation. I also show how the assigned owner and the reason for the assignment are stored in HubSpot, followed by a Slack notification containing the lead context. In this video The operational bottleneck Who actually owns a new solar lead? The "whoever is available" process Why simply notifying the sales team isn't enough. Diagnosis Notification vs. actual ownership. Define the routing rule Why the business rule should come before the automation. Routing logic How lead characteristics can determine ownership. Systems execution Turning the operating rule into an automated workflow. CRM pipeline design Lead source → CRM capture → Routing → Owner → Task → SLA → Contact. Measuring the handoff Assignment time, response time, contact rate and qualification rate. Live build Building the working workflow with n8n, HubSpot and Slack. The broader idea is that the fix isn't necessarily "more automation." First define: Who should own the lead? Then define: What rule determines that ownership? Then automate it. This is especially relevant for solar installers, solar sales teams, renewable energy businesses, technical service businesses, and companies managing inbound leads across multiple sales reps.
