Before you connect AI to QuickBooks Desktop, put a few practical safeguards in place. I’m Leif Dyrsten, and these are the five checks I use to help stay in control of the books. 1. Have a way back: make a current backup, know how to restore it, and choose a quiet time when nobody else is changing the books. 2. Protect finished months: use a closing date and password, with a date agreed with whoever looks after your books. 3. Limit what it can see or change: give the connection only the access the job needs, and check which QuickBooks user it actually uses. 4. Practice separately: try small tasks in a separate practice copy, away from your live books, payments, payroll submissions and customer emails. 5. Know what changed: use the Audit Trail to review transaction changes and the user associated with them. Codex is the AI tool from OpenAI I use with QuickBooks Desktop. Start with a small task, then learn how to check the result yourself. The QuickBooks examples use fake business data in QuickBooks Desktop 2015. Available permissions and connection behavior vary by edition and setup. A closing date does not lock every part of a company file, and the Audit Trail is not an undo button or proof that an accounting decision was correct. Understand what information your AI tool shares before using real books, and keep passwords and secret keys out of chats and scripts. #QuickBooksDesktop #QuickBooks #AIAutomation
