In this second video of the BondiByte sites series, we open a site's page and work through its details, its people and its settings. The video uses a demonstration organisation with made-up data, and everything named in it is an example: the site Banksia Community Hub (made in Part 1), the client Avery Sample, the staff member Arjun Sharma, the Community Access assignment type and the Level 1 address line. Use your own records.
Next in this series: Site Documents, Reports, History and Rostering (2 of 2) • Site Documents, Reports, History and Roste...
We start from Sites in the left menu and open the example site. On the Overview we go card by card: Site Details (the site code and type, the status, the service context, and when the site was created and last updated) and Location (the address, the Site manager and the Team leader). Then we make one quick edit: Edit opens the same fields as Add site, we add a level to the address, choose Save site, and Last updated shows the day.
Next, the people. Link clients opens the Clients tab, and Assign client opens a window: Client (a dropdown of your clients), Assignment type, Start date (today by default; a future date schedules a planned move), an optional End date and Notes. We link Avery Sample with the Community Access type, see the confirmation message and the new row marked Current, and look at the columns and the Remove button. Linking a client moves their shifts onto the site's roster, and the client's own page now shows the site in the Site and rostering line and on the Sites tab. Then the Staff tab: Assign staff opens a similar window, where Staff is a dropdown showing each person's job and Rostering priority says where the person comes in when shifts are filled (Primary Team first, then Secondary Team, then Relief Team). We add Arjun Sharma as Primary Team. The site team decides who can be rostered at the site.
Back on the Overview, the counts at the top, the Staff and Clients cards and Recent activity show what we did. The Rostering, Smart Rostering, Documents and Capability Requirements cards are only pointed at: the first two sum up the site's roster and its automation, and the other two sit under Compliance. Part 3 starts on those, and the SIL and Smart Rostering series covers rostering for sites in depth. Last, a light look at Site settings: Site Notifications (the daily shift summary, staff reminders and escalation for unfilled shifts), Site Manager (who gets the site's notifications; until one is chosen they go to your organisation's owners and admins), Shift Management (shift swaps, staff cancellations and open shifts), Clock-in and attendance for staff clocking in from the mobile app, the team counts and Save site settings. Nothing is changed in Site settings.
Who this is for: owners, admins and managers who set up and run sites.
