Church directory software walkthrough: privacy settings, archiving and exporting your directory in TimelyChurch. Sofia Ramirez is happy for the Grace Community Church office to have her cell number, but she'd rather other members didn't see it. Her husband Daniel was added by a greeter and never got a welcome email. And a few records in the directory need tidying: Tessa Moreno will be away for a few months, and Grace Holloway visited once. This walkthrough starts with Sofia's privacy. In Edit Profile, the Directory Privacy section at the end of the form has seven switches for what other members see. Show me in directory, Show email, Show phone and Show photo start on, and city, birthday and anniversary stay hidden until someone turns them on. Turning Show phone off and clicking Save Changes keeps her number on her profile for staff while hiding it from the member directory. Show on public website is separate: it publishes a person in the People section of your church's public website, and it stays off unless you turn it on. Then access. Daniel's three-dot menu has Send sign-in link, which emails him a fresh, secure link so there's no password to remember. Copy Profile Update Link on Sofia's menu copies a link you can text or email her, and whoever opens it can see and update her profile without signing in. For a child like Mateo that option isn't there: profile update links are turned off for minors, and a parent or guardian can update the record from the family portal. Cleanup comes last. Deactivate takes Tessa out of the People list, which only shows active people, and Filters with Active Status set to Inactive Only brings her back so you can click Activate. Disable Comments stops her commenting on your announcements and news posts without changing anything else on her profile. Archive hides Grace Holloway without deleting any history, and the Archived filter (Active Only, Archived Only, Include Archived) finds her again so you can Restore her. To tidy several people at once, check their boxes and use the bar's Archive button. Export CSV downloads every field, from ID, name, email and phone to address, membership status, family, classes and notes. Anything you archive or deactivate can be brought back whenever you need it.
