Written communication is central to how information moves around an organisation, but effective workplace writing involves more than sharing facts. This lesson explains how to identify the intended outcome before writing and how purpose influences tone, structure, length and level of detail. It introduces four common purposes: informing, requesting, confirming and escalating. You will learn that informative messages share factual updates, while requests should be polite, specific and time-bound where appropriate. Confirmation messages record agreements, responsibilities and deadlines, creating a shared understanding. Escalation messages raise unresolved issues, risks, complaints or matters beyond your authority, while remaining professional, objective and evidence-based. The lesson also considers how to choose a primary purpose when a message has more than one objective. By checking what you want the reader to know, do or decide, you can create clearer, more focused communication, reduce misunderstandings and support accountability in the workplace.
