Key Steps
1. Open the Projects area and start a new project 0:10
Navigate to Project Management - Projects.
In the top-right corner, select Add Project.
Use Setup Wizard only if you want guided setup; otherwise, continue with manual entry.
2. Enter the basic project details 0:22
Click Add Project to begin manual setup.
Enter a project name or use the street address as the project name.
Choose a clear identifier that your team will recognise easily.
Select whether the project is in Tender Stage or Live.
Note that both options display the same project information; the choice is mainly for organisation.
Enter the street name/address again so the system can locate the project on the map.
Enter the project start date; the transcript recommends using today’s date.
Leave the completion date blank until the job is finished.
Choose a colour to help visually identify the project in the system.
Review the workdays setting and include or remove Saturday depending on the schedule.
Save the project once these details are complete.
5. Review and edit the project if needed 1:49
After saving, reopen the project if you need to make changes.
Confirm that the project details, stage, location, and schedule are correct.
Update any incorrect information before moving on.
6. Add customer information and send an invite 1:56
Go to Customer Information.
Add a new customer if one is not already listed.
Send an invite to the customer portal so the customer can access the project.
Enter the customer details and send the invitation.
7. Complete job information and finalise the setup 2:29
Open Job Information.
Add known details such as:
Fixed price
Square meters
Building permit number
Project manager
If details are not yet available, leave them blank for the team to view later.
Save or update the record to finish setup.
Cautionary Notes
Do not enter incorrect addresses; the map location depends on accurate street details.
Leave completion date blank until the project is actually finished to avoid confusion.
Choose the correct project stage (Tender or Live) for better organisation, even though both display the same information.
Only send customer portal invites when the customer details are confirmed.
Double-check workdays so the schedule reflects actual working days, especially if Saturdays are included.
Tips for Efficiency
Use the street address as the project name when it makes identification easier.
Keep a consistent colour system for different project types or statuses.
Set the start date to today for faster setup.
Leave optional fields blank until confirmed rather than delaying project creation.
Save the project first, then return to edit details as more information becomes available.
